This is a full-time role based in Leeds, UK. We offer hybrid working and flexible hours to everyone in the team, but this is not a fully remote opportunity and we require you to be in the office at least 3 days a week.

What we’re looking for

We’re looking for a brilliant Resource Manager to join Engage. You’ll be at the heart of the action, overseeing the day-to-day running of our studio schedule. That means working closely with the heads of each department to stay on top of capacity, make smart calls on priorities, and help us deliver exceptional work without burning anyone out.

As our Resource Manager, you’ll be the glue that holds the schedule together - anticipating, organising, and optimising the flow of work across the agency. You’ll take the pressure off the client service teams by owning the resource process end to end, freeing them up to focus on delivery, while you focus on making sure we’re operating smoothly, efficiently and profitably.

Duties and responsibilities

Studio Scheduling & Resource Management

  • Own the day-to-day studio schedule across design, development, marketing and delivery teams - taking responsibility for adding bookings into our scheduling software based on requirements provided by the Client Services team if required.
  • Keep a close eye on time off to proactively manage capacity and avoid last-minute scrambles.
  • Forecast upcoming resource gaps & pinch points early and help find the right solutions - from juggling internally to bringing in external support.

Commercial Awareness & Prioritisation

  • Keep a close eye on retainer backlogs - making sure delivery stays consistent and there’s no gaps in work.
  • Make smart resourcing decisions based on commercial insight - balancing client needs, project priorities and team capacity. You’ll keep one eye on profitability and the other on people.
  • Be the go-to for agreeing overtime with Heads of Department, balancing team wellbeing with delivery needs.
  • Support with resourcing in new business planning - making sure what’s promised can be delivered, by the right people, at the right time.

Communication & Collaboration

  • Act as the central point of contact for all things resource - keeping stakeholders in the loop, flagging risks and issues when needed, and helping to troubleshoot challenges.
  • Work closely with the wider leadership team (Commercial, Finance, Client Services, Technical) to ensure resource decisions align with agency priorities.
  • Use scheduling software to manage and communicate resource bookings - regularly reviewing tasks to make sure briefs are in place and bookings are accurate.
  • Help shape and improve internal resourcing processes, bringing ideas and solutions that level up how we work.

Meetings

You’ll attend and contribute to a number of regular meetings, including:

  • Project Wall – flagging blockers, mapping capacity, and helping Heads of Department deploy teams strategically.
  • Set up and run resource-focused meetings as needed - whether to unblock challenges, realign priorities or give things a reset if the schedule starts to wobble.
  • Commercial Meetings – surfacing upcoming demand and availability, and supporting the team to set realistic client expectations.

Reporting

  • Keep a close eye on weekly utilisation across the agency, tracking billable vs non-billable time to ensure we’re working efficiently and profitably.
  • Check non-billable timesheets for accuracy, adding rationale to team P&Ls and flagging any anomalies.
  • Keep an eye on time-logging across the studio - making sure everyone’s logging accurately and consistently, so we’ve got a clear picture of capacity and utilisation.

Skills and knowledge

You’re a natural when it comes to people - earning trust, building strong relationships, and knowing how to bring the best out of a busy studio team.

You’ve got a solid working knowledge of how creative, development and marketing teams operate - from UX and product design through to motion, front-end and back-end dev, CMS builds and performance marketing.

You don’t need to be an expert in every specialism, but you do understand the fundamentals well enough to spot what’s needed and match the right people to the right jobs.

Organisation is your superpower. You can juggle multiple requests, stay on top of competing deadlines, and still find time to handle things with calm & clarity. You see the bigger picture, but you never lose sight of the details.
